On the Day Co-ordination

When I offer On the Day Wedding Co-ordination, my role isn’t too dissimilar to that of when I am a toastmaster, however, it is usually a less formal approach and often more centred towards décor. On the Day Co-ordination is particularly helpful with a DIY style wedding.

Please see an example below of my role at a recent wedding located in a marquee within the grounds of the couple’s family farm. The couple were concerned about how each of the elements of their wedding plans would come together on the day which is why they booked my services.

  • I arrived to the marquee at 11.00am (armed with a checklist) to ensure that the furniture company had correctly set up the chairs for the ceremony and the tables and chairs for the wedding breakfast.
  • I introduced myself to the catering company who were doing the food and drink for the day and ran through timings with them to ensure we were all on the same page.
  • I checked the caterers had set up the wedding breakfast tables correctly (using a list and photos provided by the couple).
  • I decorated the gift table with various items including photos, card box and guest book.
  • I positioned the welcome sign and coat rail at the entrance of the marquee and table plan inside.
  • I welcomed each guest on arrival, directed them to the gift table, coat rail and bathroom facilities.
  • When the Bride-Groom and the Groomsmen arrived I attached their button holes.
  • I welcomed the Celebrant who was performing the ceremony and ensured she had everything she needed. I helped her to check the music was working.
  • I invited guests to take their seats ready for the 12.30pm ceremony.
  • As the bridal car arrived it started to rain so I ran in and out with umbrellas to protect bridesmaids and the Bride.
  • During the ceremony I liaised with the caterers to ensure they were set up ready for drinks and canapes.
  • After the ceremony, I directed guests to the drinks reception area and cleared away the chairs from the ceremony to make space for mingling. I repositioned pedestals and aisle flowers from the ceremony to the Top Table for dinner.
  • I assisted the photographer with gathering guests for group photographs.
  • While the photographer was busy taking couple photos, I lined guests up and handed out confetti ready for the confetti tunnel.
  • I continued to liaise with the caterers and delivered drinks and canapes to those involved with photos.
  • Just before inviting guests to take their seats for dinner, I had a final check of the wedding breakfast space and lit the table candles.
  • After inviting guests to take their seats, I asked them to stand as I announced the newlyweds to the Top Table.
  • I introduced the speeches which were taking place first and then announced that dinner would be served.
  • This was the end of my duties for the day, I was at the wedding from 11.00am – 4pm. Some couples ask for me to stay longer to liaise with the band or DJ/welcome evening guests/introduce the first dance/help with turning the room around, but this particular couple didn’t require this.
